Seeking Fleet Manager

Summary of Position

The Fleet Manager oversees the lifecycle, compliance, and operational readiness of the company’s vehicle fleet, supporting a fast-paced, 24/7 oil and gas business. This role requires hands-on technical capability, regulatory knowledge, and the ability to make sound decisions under pressure.

Compensation

$80,000 per year, depending on experience (DOE)

Essential Job Requirements

  1. Vehicle Maintenance & Fleet Operations

     Maintenance & Repairs

  • Schedule and track preventive maintenance for all fleet vehicles and trailers
  • Review and approve repair estimates; coordinate timely repairs
  • Ensure vehicles meet operational and safety standards
  • Maintain accurate maintenance and service records

      Vehicle Lifecycle Management

  • Coordinate vehicle acquisitions, assignments, replacements, and retirements
  • Maintain master vehicle lists across all platforms
  • Coordinate vehicle transfers, decommissioning, and disposals

        Registrations, Titles & Insurance

  • Manage vehicle registrations, renewals, titles, and lease documentation
  • Maintain and distribute insurance cards
  • Ensure compliance with state and federal requirements

      Fuel & Toll Programs

  • Administer fuel card ordering, PIN management, and driver support
  • Monitor fuel usage, spending, and reporting
  • Manage toll tags (EZ Tag or equivalent)

    Field & Hands-On Responsibilities

  • Install, remove, and troubleshoot Geotab telematics devices
  • Apply and maintain vehicle decals and identifiers
  • Perform visual vehicle inspections
  • Move vehicles between repair facilities, shops, and operational locations
  • Travel locally as needed to support fleet issues
  1. Vehicle & Driver Compliance

    DOT & Regulatory Compliance

  • Manage DOT/FMCSA compliance for commercial vehicles
  • Maintain Driver Qualification Files via third-party compliance partners (e.g., JJ Keller)
  • Oversee FMCSA filings and requirements (MCS-150, 2290, IFTA, UCR)
  • Ensure compliance with Hours of Service (HOS) requirements

    Telematics & Driver Monitoring

  • Own and administer telematics systems (Geotab)
  • Monitor driver behavior including speed, harsh braking, and acceleration
  • Generate scorecards and reports for management review
  • Recommend and coordinate corrective actions or training

     MVR & Driver Records

  • Monitor MVRs through continuous monitoring platforms (e.g., eDriving)
  • Maintain accurate driver records across systems
  • Support driver onboarding and offboarding from fleet systems

     Accident Management

  • Coordinate accident response, reporting, and documentation
  • Utilize telematics data for accident reconstruction and insurance submittals
  • Track accident trends and update internal matrices
  • Coordinate vehicle repairs following incidents

    Reporting & Continuous Improvement

  • Generate recurring reports for maintenance, fuel, compliance, and driver behavior
  • Provide recommendations to leadership for fleet efficiency and compliance improvements
  • Support internal and external audits

    Skills & Experience Required

  • 3–5 years of fleet management or related experience
  • Strong working knowledge of vehicle maintenance and compliance
  • Experience with telematics systems (Geotab preferred)
  • Intermediate proficiency in Microsoft Excel
  • Ability to manage multiple priorities with minimal supervision

     Preferred

  • Oil & gas or industrial fleet experience
  • Familiarity with DOT/FMCSA regulations
  • Experience working with third-party fleet and compliance vendors

     Working Conditions

  • Combination of office, warehouse, and outdoor environments
  • 24/7 operational support mindset with occasional after-hours response
  • Some local travel required

Education and Work Experience Required

  • Typically requires 5 years’ experience in the related areas as an individual contributor.
  • 1-3 years supervisory experience may be required.
  • Extensive knowledge of the function and department processes.
  • 3-4 years’ relevant experience, preferably in a fleet operation setting.
