Summary of Position:

The Timekeeper is responsible for accurately collecting, processing, auditing, and maintaining employee timekeeping records. This position ensures compliance with company policies, client requirements, union agreements, and payroll procedures while supporting project billing and cost tracking activities. The Timekeeper works closely with project leadership, payroll personnel, and accounting teams to ensure accurate labor reporting, billing, and cost management.

Essential Job Responsibilities:

  • Acquire, process, balance and retain daily jobsite timecard data entry & balance against any customer required Gate Logs.
  • Allocate time/per diem by Client site deadline.
  • Audit employee timesheets for accuracy and make any needed corrections for billing.
  • Ensure any exception time is approved by Job Owner and client contact.
  • Prepare weekly payroll jobs reports, obtained from and balanced with the daily timekeeping reports and submit to corporate office for payroll.
  • Assist with invoicing; ensuring proper cost/work orders are billed correctly.
  • Engage openly with Project leadership (Project Managers, General Foremen, Foremen) and office to rectify and resolve any payroll and/or billable discrepancies in a timely manner.
  • Prepare and/or oversee the preparation of the hourly data entry for all hours worked in an accurate and timely fashion in accordance with operating procedures.
  • Follow required procedures for having time approved in system.
  • Upload weekly Cost Reports.
  • Verification of Billing Rates in different systems.
  • Assist with all administrative duties (filing, copying, faxing, etc.)
  • Will also be trained to complete some billing

Required Education:

  • High School Diploma or GED.

Preferred Education:

  • Associate degree in Accounting, Business Administration, Finance, or a related field.
  • Additional training or certifications related to payroll administration, accounting, or project controls.

Required Experience:

  • Minimum of five (5) years of timekeeping experience within the rotating equipment industry.
  • Five (5) or more years of TRACK software experience.
  • Experience with payroll processing, cost tracking, and auditing activities.
  • Knowledge of collective bargaining agreements, union requirements, and compliance standards.
  • Experience supporting billing and invoicing functions.

Working Conditions:

  • Office environment with frequent interaction with field personnel and project leadership.
  • Extended periods of sitting, computer use, and data entry.

Pay Range: $25 hourly
